Yes, and it is built in rather than a custom report you commission after the fact. WA State and King County BHO reporting ships with every plan, and your reporting document setup is part of onboarding. If your current system makes you export to a spreadsheet and rebuild the submission by hand, that is the difference. We wrote up what WA BHO reporting actually involves — the BH–ASO transition, the 837 requirement and King County’s SERI rules — here.

Month-to-month after the one-time setup fee. Cancel anytime with 30 days notice — no long-term commitment and no early termination penalty. If you leave, we hand over a full database export in CSV, SQL or JSON. Your data is yours.

Standard onboarding is included in your $1,495 setup fee, with dedicated support through your first 60 days. After that, your monthly plan includes two hours of support of any kind — training, troubleshooting, workflow questions. Past those two hours it is $129 per hour, billed by the minute.

Yes, quoted per project rather than bundled into the setup fee. Every prior EHR exports differently, so a flat rate would either overcharge you or underprice the work. Tell us what you are coming from and what shape the data is in, and we will scope it.

KeyNotes is HIPAA ready. PHI is encrypted in transit and at rest, backed up nightly off-site, and hosting, SSL and security maintenance are all handled on our side — you do not provide servers. We sign a Business Associate Agreement, and our BAA template is published here so your counsel can review it before anything is signed. Compliance itself is shared: the platform meets its side of HIPAA, and your agency’s policies, training and access controls complete it.
